UNIT MEMOS
Prep and Planning Time
This memo informs elementary teachers in the Bruce Grey OECTA unit about recent changes to prep/planning time banking and recoupment due to the new Central Agreement. Teachers are now required to record missed prep time weekly using a new Google Form. Certain activities are no longer eligible for banking or payout, and while rescheduling missed prep time is preferred, the board will provide monetary compensation if it's not rescheduled within five months. All prep time remains self-directed.
Self-Funded Personal Leave Days
This memo informs teachers of the provision for Self-Funded Personal Leave Days in the new Collective Agreement, allowing up to two days off per year at a cost of the daily Occasional Teacher rate plus approximately 10%. To request these days, teachers must provide at least two weeks' notice. It is not permitted on the first day of the school year. Final approval from Human Resources before a replacement is called, with only full-day absences permitted. Once confirmed, these leave days are irrevocable.
Release Time for Assessment and Report Cards
This memo informs elementary teachers about a new Letter of Understanding in the Collective Agreement allowing them to work from home on the February and June PA days designated for report card writing. Teachers choosing to work remotely must notify their principal of their location two days prior and provide contact information for potential questions. While working from home, teachers are expected to remain at their designated location and actively work during regular school hours, excluding their lunch break.
Working from Home Guidelines (Report Card Writing)
This document provides guidelines for establishing a safe and effective work-from-home environment, recommending a dedicated workspace with ergonomic equipment, sufficient lighting, and good housekeeping practices. It emphasizes the critical importance of adhering to the Board's privacy and security policies while working remotely.
Staff Meetings
Effective September 2022, there were changes made to the language in the Collective Agreement outlining the parameters for staff meetings. Staff meetings will be held monthly and will not exceed one hour, except for the initial start-up meeting which can be up to two hours. Attendance at staff meetings outside of instructional time is voluntary, though completion of any in-service or training provided is mandatory. Staff meeting agendas may cover board and school operations, including training, as well as union and committee updates.
Internal Tansfers
This memo outlines the new internal and cross-panel transfer procedures for permanent teachers within the OECTA Bruce Grey Elementary and Secondary units, as ratified in the new Collective Agreement. Internal transfers between elementary schools will occur in two rounds in April and May. Successful Round One applicants are not eligible for Round Two. Following internal transfers, cross-panel transfers between elementary and secondary panels will be considered for remaining permanent vacancies, with the Board having discretion over these transfers. Permanent vacancies not filled through internal transfers will be posted as "S-postings,".
Earned Leave Days
This memo clarifies the procedure for using Earned Leave Days, emphasizing that while the Collective Agreement language remains unchanged, the approval process has been updated. Earned Leave requests immediately before or after a holiday require prior written approval from Human Resources. For regular Earned Leave days, principal/supervisor approval is required.
